YOUR INFORMATION

Privacy, kept simple.

Browse groups and contact a leader without creating an account. We keep the information needed to run the directory and manage leader accounts.

Who looks after your information?

The Crew website administration is responsible for information held by this directory. Local churches and group organisers are responsible for information you send directly to them and for their own attendance, booking and safeguarding records.

For questions, corrections or a request about your information, email contactmackdeptula@gmail.com. Please say whether your request concerns a Crew account or a particular listing.

Finding and contacting a group

You can browse the directory, use its filters and open group pages without an account. Contact addresses are published so you can email leaders directly. An email link opens your own email app. The Crew does not handle that message, create a new enquiry record or add you to a mailing list. Your email service and the recipient’s email service handle the correspondence.

A booking link may take you to a church or another provider. Their own privacy notice applies there. Please avoid sending children’s personal details, medical information or other sensitive information in an initial enquiry.

Accounts and saved groups

Accounts are optional for visitors and required for leaders who manage groups. We store an account identifier, profile name, saved groups and, for leaders, the registered email and listing ownership needed to verify and manage their groups.

Email-and-password sign-in uses Supabase Auth, which handles credentials, confirmation emails, password resets and sessions. Passwords are not stored in The Crew’s group database.

Saved groups are private to your account. Any earlier website joining requests or conversations remain accessible through their original accounts to you and the relevant organiser. New group enquiries use direct email.

Public listings and claims

Published listings contain church and group names, descriptions, venue addresses, meeting information, map locations, booking links and public contact details. Leaders confirm permission to publish their chosen contact email. Their login email is not automatically made public.

We also research groups using publicly available church websites and other public sources. These records are supplied through a Google Sheet published to the web, labelled as unconfirmed and linked to their source where available. Information in the published sheet can be read by anyone with its link. We use it for public group details only. Contact us to correct or remove a researched listing.

Leaders register to claim a group, then send their claim from their own email service. Claims are reviewed personally and correspondence stays in email. Approved ownership is recorded in the website database so the leader can manage the listing.

Maps, location and cookies

OpenStreetMap supplies map tiles. Your browser requests these directly, sharing technical information such as your IP address with that service. UK postcode searches are processed through this website and Postcodes.io; a postcode may appear in service request logs and cached location responses.

“Use my location” asks for your browser’s permission. Your coordinates are used in your browser to calculate distances. They are not saved to your Crew account or sent to The Crew’s location endpoint. You can search using a postcode instead.

Secure cookies keep you signed in. The website does not add advertising cookies or analytics trackers. Hosting and authentication services may process IP addresses, request details and technical logs to deliver and protect the service.

Private admin notes

Website administration notes and saved document links are stored in the site database and restricted to the designated administrator. They are not included in public pages or the published directory spreadsheet. Pasting a Google Docs link does not change that document’s sharing permissions or give The Crew access to its contents. Custom CSS is public website styling and should not contain private information.

Why we use information and who processes it

We rely on legitimate interests to provide the account features you request, maintain a useful church group directory, verify authority to manage listings, answer administrative correspondence and keep the service secure. For public contact details supplied by a leader, we also ask them to confirm permission to publish the address.

Service providers include Supabase for email authentication, Cloudflare for website hosting and the database, and Google for the published spreadsheet. Email providers handle administrative correspondence. Map and postcode providers process the requests described above. Providers may process information outside the UK under their own service arrangements; contact us for information about the arrangements that apply to your data.

We do not sell personal information, add visitors to marketing lists or make automated decisions about people that have legal or similarly significant effects. Claim approvals are reviewed by a person.

How long information is kept

Account information and saved groups are kept while the account is used or needed to manage its listings. Listing information is kept while it is needed for the directory and its administration. Administrative correspondence and any earlier requests or messages are kept for as long as needed to resolve the matter, support the account or handle a relevant dispute. Technical logs and backups follow the relevant provider’s retention arrangements.

You can remove saved groups in My Crew and ask us to close an account or remove information. We may need to verify your identity and arrange a handover of any groups you manage. Information may be retained where required for a legal obligation or an unresolved matter; copies may remain in provider backups until those expire.

Your choices and rights

You can ask to access or correct your personal information, request its deletion or restriction, and ask for portability where that right applies. You can object to processing based on legitimate interests. Contact the administrator using the email above; we will explain what applies to your request.

Organisers can update their listing’s public contact details or set a group to draft or paused. For information already sent directly to a church or booking provider, contact that organisation. You can also raise a concern with the Information Commissioner’s Office.

Children and local safeguarding

This website is intended for adult account holders. It does not request children’s names, dates of birth or medical information. Local churches may have their own registration and safeguarding processes, which they should explain directly.
